Window cleaning is a repeat business disguised as a one-off, and the invoice is what makes the repeat happen. A bill that says 'window cleaning — $180' tells the customer nothing and gives you nothing to quote from next time. One that separates exterior from interior, counts the panes, and lists screens and tracks as their own lines is a bill that gets paid without a phone call and doubles as next quarter's quote. Storefront routes are the same idea at a different rhythm: a small weekly number, every week, which is worth more than any single house.

What to include on a window cleaning invoice
- Your business name, phone number and email — and your license number if your state puts one on the paperwork
- The customer's name, the service address, and a phone number or email you can actually reach them on
- An invoice number and the date the work was done
- The pane count, and whether the price is per pane or per side
- Interior and exterior as separate lines — plenty of customers only want one of them
- Screens and tracks listed separately, because they are the two things people forget they asked for
- Any second-storey or ladder work called out, so the price difference is visible
- Hard water or paint removal as its own line — it is restoration, not cleaning
- For a route, the visit frequency in writing so nobody is surprised by the second invoice
- Subtotal, sales tax if you charge it, and the total due
- Any deposit or payment already taken, and the balance still owed
- The due date, and what happens if it goes past it
- How they can pay — card, bank transfer, check or cash
Window Cleaning invoicing questions
Should I price per pane or per house?
Quote the customer a total, but build it from panes on the invoice. Per-pane is the only number that survives being checked, and it means the next house takes thirty seconds to quote. A flat house price you cannot explain is the one that gets negotiated down.
Is a pane one side or two?
Say which on the invoice, every time. This is the single most common billing argument in the trade. Most cleaners price a pane as one side and charge interior and exterior separately, which is why they appear as different lines here.
How do I bill a weekly storefront route?
One invoice per visit if they pay by card, or a monthly invoice listing the dates if they prefer. Either way put every visit date on it. A monthly bill with four dates on it gets paid; one that just says 'window cleaning, October' gets queried by whoever took over the accounts.
What about hard water stains?
Bill it separately and warn about it before you start. Mineral etching is restoration work, it sometimes cannot be fully removed, and a customer who first hears about it on the invoice assumes you damaged the glass. A line item plus a sentence on the invoice prevents the whole conversation.
Do I need insurance to give someone an invoice?
An invoice does not require it, but ladder work at height means most commercial customers will ask for a certificate before they let you start. Never write 'insured' or 'licensed' on paperwork unless you actually hold the cover and can produce it.
