Roofing invoices get read by two people: the homeowner, and an insurance adjuster who wants line items that match a scope. Bill by the square, list tear-off and disposal separately from the new roof, and put decking replacement as a per-sheet line because you can never know that number until you're up there. Record the manufacturer, product and color of the shingle, and both warranties โ€” yours on the workmanship and the manufacturer's on the material. What is a 'square' and should the invoice use it?

A square is 100 square feet of roof surface, and yes โ€” it's the unit the whole trade prices in, including insurance scopes. An invoice showing 22 squares at a stated rate can be checked against any other bid or adjuster estimate. One in square feet can't be, easily, and looks like it's hiding something.

How do I bill decking I couldn't see until tear-off?

As a per-sheet line at a rate agreed before the job started, with the count filled in afterwards. Put that rate in the estimate. Rotten decking is genuinely unknowable from the ground, and a pre-agreed per-sheet price turns a nasty surprise into arithmetic.

What does an insurance job need on the invoice?

Line items that map to the adjuster's scope, the claim number, the property address and the dates of work. Keep supplements as their own lines rather than adjusting existing ones. The closer your invoice reads to their estimate line for line, the faster it gets paid.

Should I invoice a roof inspection?

Many roofers inspect free as a sales call, and that's a reasonable choice. But a paid inspection with a written report is a real product โ€” for real estate transactions, insurance renewals and second opinions โ€” and it's worth pricing rather than giving away. If you're crediting it toward a re-roof, show the credit as a line.

How should payment be staged on a re-roof?

A deposit at contract, a material draw on delivery, and the balance on completion and inspection is the common shape. Some states regulate deposit amounts on home improvement contracts, so check yours. Invoice each stage separately with its own due date rather than tracking it in your head.
