What to include on a organizing invoice
- Your business name, phone number and email โ and your license number if your state puts one on the paperwork
- The customer's name, the service address, and a phone number or email you can actually reach them on
- An invoice number and the date the work was done
- Hours on site with the dates, not a single unexplained project fee
- How many organizers were working, because a team hour is not the same hour
- Supplies itemised at what they cost, and whether you added a sourcing margin
- Donation loads with the receipt reference โ the client needs it for their taxes
- Anything sold on the client's behalf, and what was done with the proceeds
- What is agreed for the next session, so the relationship continues on paper
- Subtotal, sales tax if you charge it, and the total due
- Any deposit or payment already taken, and the balance still owed
- The due date, and what happens if it goes past it
- How they can pay โ card, bank transfer, check or cash
Professional Organizing invoicing questions
Hourly or by the project?
Hourly for almost everything, because scope in this trade genuinely cannot be known from the doorway. A closet becomes a bedroom becomes a garage. If a client wants certainty, quote a session block โ say six hours โ and invoice further sessions separately rather than promising a finished house for a fixed number.
Do I mark up the bins and baskets I buy?
Either bill them at cost and charge for your shopping time, or add a modest margin and say so on the invoice. Both are normal. What causes trouble is a silent markup a client later spots on a price tag, so pick one and put it in writing.
How do I handle donations and the tax receipt?
Take the donation receipt in the client's name and reference it on the invoice. The write-off is theirs, not yours, and being the person who handed them a documented deduction is a large part of why organizers get referred.
What if I sell things for the client?
Keep it entirely off your fee. List what sold and for how much, then show the proceeds as a separate payment or credit. Mixing resale money into your own invoice total is how an ordinary job turns into an accounting problem for both of you.
Should I charge for the first consultation?
Charge for it and credit it against the first session if they book. A free consultation in this trade attracts people who want an hour of advice, and organizers who charge report better clients rather than fewer.
Is this actually free, or free until I hit a limit?
