Plumbing invoices get disputed over two things: what the trip cost before anyone touched a wrench, and whose fixture it was. Spell both out. If you supplied the water heater, the water heater is a line. If they handed you a faucet from a big-box store, say 'customer-supplied' on the line so the warranty conversation is already settled in writing. Add the permit as a pass-through if you pulled one, and put your license number in the header โ€” in most states it belongs there anyway.

Should I charge a dispatch fee even on a quick fix?

Yes, and it should be on the invoice as its own line. The truck, the fuel and the hour of your day happened whether the job took ten minutes or three hours. Hiding it inside a suspiciously high labor charge for a ten-minute fix is what generates the angry review.

Flat rate or time and materials โ€” which should the invoice show?

Show whichever you quoted, and show it consistently. Flat rate reads better to homeowners because the number can't grow while they watch. Time and materials is fairer on unknowns like a slab leak. What you must not do is quote flat and then invoice hourly.

How do I invoice a customer-supplied fixture?

Put 'customer-supplied' right in the line name and bill labor only. Then write your warranty terms explicitly: you warranty your installation, the manufacturer warranties the part, and if their fixture fails you're coming back on the clock. Getting that in writing before it leaks is the whole point.

Do I invoice the permit at cost?

Standard practice is at cost, on its own line, labeled as a permit or inspection fee. Some plumbers add a documented handling charge for pulling it. Either is defensible โ€” what isn't is folding it into labor, because a homeowner who later sees the county's actual fee assumes the whole invoice was padded.

How do I get paid faster on a big job like a repipe?

Bill in stages: a deposit for materials, a progress payment at rough-in, and the balance at final inspection. Each stage is its own invoice with its own due date. Sending the last one from the driveway, with a card link on it, gets you paid weeks earlier than mailing it Friday.

Is this actually free, or free until I hit a limit?
