Photography money moves in three stages and each one is its own invoice: the retainer that holds the date, the balance due before the gallery is delivered, and whatever prints or extra hours get added afterward. Naming the package on every invoice — not just 'photography, $1,800' — is what lets a client check it against what they actually booked, and it's your own record when the same client rebooks next year and neither of you remembers exactly what was included the first time.

What to include on a photography work invoice
- Your business name, phone number and email — and your license number if your state puts one on the paperwork
- The customer's name, the service address, and a phone number or email you can actually reach them on
- An invoice number and the date the work was done
- The package by name, with what's included spelled out — hours, edited images, a second shooter
- The retainer shown as a payment already applied, not silently subtracted from the total
- Extra hours or add-ons booked on the day, on their own lines
- Delivery timeline for the edited gallery, stated on the invoice
- Usage or licensing terms, if you sell prints or commercial images with restrictions
- The event date and location — it's the record you'll both want if a date is ever disputed
- Subtotal, sales tax if you charge it, and the total due
- Any deposit or payment already taken, and the balance still owed
- The due date, and what happens if it goes past it
- How they can pay — card, bank transfer, check or cash

How should a retainer show up on the invoice?
As its own invoice the day it's paid, worded as non-refundable and applied to the final balance. When the balance invoice goes out before the shoot, list the retainer as a payment already made so the client sees the real number left to pay, not the full package price with no explanation for why it's smaller than they expected.
When should the balance be due — before or after the shoot?
Most photographers collect the balance before the event or before the gallery is delivered, whichever comes first — commonly two to four weeks ahead for weddings. Put the due date on the invoice and state plainly that galleries ship once it clears. That single line prevents more chasing than any reminder email.
How do I bill for extra hours added on the day?
As a separate line on the final invoice, at your stated hourly overage rate, with the reason noted — 'reception ran long, +1.5 hrs'. Agreeing to it verbally in the moment and then invoicing it clearly afterward is normal; springing a bigger number with no explanation is what generates a dispute.
Should I itemize prints and albums separately from the session?
Yes, always. Session and coverage is one product; physical prints are another, often fulfilled by a lab weeks later. Keeping them on separate invoices means a slow print order never holds up the session payment, and a client who wants to add prints later has a clean invoice to do it on.
What if the client cancels?
That's what the non-refundable retainer covers — it held the date and turned away other bookings for it. State your cancellation and rescheduling policy on the retainer invoice itself, in writing, before anything is paid. A policy someone agreed to on paper is a policy that holds up; one that was only ever said out loud usually doesn't.
Is there a limit on how many invoices I can send?
