What to include on a nail work invoice
- Your business name, phone number and email โ and your license number if your state puts one on the paperwork
- The customer's name, the service address, and a phone number or email you can actually reach them on
- An invoice number and the date the work was done
- The set and the fill as different lines at different prices โ they are different jobs
- Removal billed separately, especially when it is someone else's work coming off
- Art priced per nail with the count shown, not as a vague 'design' line
- Repairs listed even when you waive them, so the client sees what was included
- Any deposit taken shown as a payment against the total
- The tip on its own line, added after the total
- Subtotal, sales tax if you charge it, and the total due
- Any deposit or payment already taken, and the balance still owed
- The due date, and what happens if it goes past it
- How they can pay โ card, bank transfer, check or cash

How should I price nail art without arguing about it?
Per nail, with the number of nails on the invoice. 'Art โ 6 nails at $8' is a line nobody queries; 'design work $48' is a line everybody queries. It also lets a client choose two feature nails instead of ten without you having to invent a price on the spot.
Do I charge for removing another salon's work?
Yes, and put it on its own line. Soaking off a set someone else applied badly is the least pleasant twenty minutes of the appointment and it is real time. Clients accept it when they can see it as a line item; they resent it when the set price is quietly higher than the one advertised.
I work from home โ does that change the paperwork?
Not the invoice. It is your business, your prices and your receipt. It is worth checking your state board on what a home studio needs by way of licence and ventilation, but the billing side is exactly the same as a salon suite.
Can I take a deposit for a long appointment?
Yes, and for anything over two hours it is worth doing. Record it as a payment against the invoice, so what is left on the day is simply the balance and nobody has to remember what was already paid.
How do clients pay?
Every invoice carries a Pay button for card, Apple Pay and Google Pay, and the counter till shows a QR code she can scan with her own phone. If she pays cash, ring it up anyway so the day's total is real.
