What to include on a mobile RV repair invoice
- Your business name, phone number and email โ and your license number if your state puts one on the paperwork
- The customer's name, the service address, and a phone number or email you can actually reach them on
- An invoice number and the date the work was done
- The rig: year, make, model and VIN โ a warranty claim on a coach appliance runs off exactly that
- Where it was parked when you worked on it: park name and site number, or the storage lot address
- Trip charge and round-trip mileage on their own lines, kept clear of the labor rate
- Every appliance by brand, model and serial from the data plate โ Dometic, Norcold, Suburban, Lippert
- Whether the work is customer-pay, manufacturer warranty or an extended service contract, because three different people pay those three bills
- What is still open: parts on order, the return visit, and what they should not run until you are back
- Subtotal, sales tax if you charge it, and the total due
- Any deposit or payment already taken, and the balance still owed
- The due date, and what happens if it goes past it
- How they can pay โ card, bank transfer, check or cash

How do I bill mileage without starting an argument?
Publish a home zone and charge round-trip miles past it, at a rate you say out loud on the phone before you roll. Then put the mile count and the rate on the invoice as one line. What causes the argument is a fat 'travel' number with no arithmetic behind it โ an owner who can multiply 30 miles by your rate stops asking.
The owner says their extended service contract covers this. Do I still write an invoice?
Write it exactly as if they were paying, then let the contract administrator authorize against it. Most administrators want a claim number, an authorized hour count and a parts list before they release anything, so keep labor, parts and the trip charge separated and describe the failure in their language. If they authorize less than you billed, the balance is still the owner's, and having one document that shows both numbers is how you collect it.
The part has to be ordered. Do I invoice the first trip?
Yes. Bill the service call and the diagnostic labor now, note the part on order with its part number, and tell them the return visit carries its own labor. Two small invoices paid on the day beat one big one you are still chasing after they have driven to another state.
How do I get paid by someone who is leaving the campground tomorrow?
Do not let the invoice go out by email that night. Finish it on your phone at the coach, hand them the screen or text them the link, and take the card, Apple Pay or Google Pay right there while the fridge is cooling and they are happy. Payment collected at the site is the whole reason mobile beats a shop on cash flow.
What should I say about warranty on my labor?
Say it in a sentence and put it on the invoice: how long you stand behind your install, that the appliance carries the manufacturer's own coverage, and that a leak that opens up somewhere you did not seal is a new job. Roofs and slide seals are where this gets tested, so be specific about which penetrations you actually sealed.
