A shop mechanic's invoice has overhead baked in that a driveway mechanic doesn't carry, and that's the whole pitch — so the invoice should look different too. • Your business name, phone number and email — and your license number if your state puts one on the paperwork
• The customer's name, the service address, and a phone number or email you can actually reach them on
• An invoice number and the date the work was done
• The vehicle: year, make, model and mileage
• The trip or diagnostic fee on its own line, before labor
• Codes read and what they actually meant, in plain words the customer can repeat back
• Every part by name, with whether it's OEM or aftermarket
• Labor and parts on separate lines, with your markup policy stated once
• What you checked and found fine — that's part of the diagnostic, and it's worth writing down
• Subtotal, sales tax if you charge it, and the total due
• Any deposit or payment already taken, and the balance still owed
• The due date, and what happens if it goes past it
• How they can pay — card, bank transfer, check or cash

Should I charge the diagnostic fee if they don't go ahead with the repair?

Most mobile mechanics do, since the trip and the time happened regardless. Whichever way you handle it, show it — either as a standing line, or as a line with a second negative line crediting it toward the repair. A fee that just quietly disappears reads as if it was never real to begin with.

How do I explain a lower price than the dealership?

Show the same structure they'd see from a shop — diagnostic, labor, parts — so the total is comparable line for line. Customers who research first are usually comparing your total to a shop quote, and an itemized invoice is what lets them see the difference is real and not a corner cut.

What markup on parts is normal for a mobile mechanic?

Fifteen to twenty-five percent is typical and it covers sourcing, the trip to the parts store, and the fact that a bad part comes back to you, not the manufacturer. State the policy plainly on the invoice — 'parts at cost plus 20%' — and it stops being a question after the first time someone reads it.

OEM or aftermarket — does it matter on the invoice?

Yes, name it either way. A customer who finds out later their brake pads were aftermarket when they expected OEM, with nothing on paper saying so, assumes they were misled even when the part was fine. One word on the line avoids that entirely.

How do I get paid before I leave the driveway?
