What to include on a market and fair sales invoice
- Your business name, phone number and email โ and your license number if your state puts one on the paperwork
- The customer's name, the service address, and a phone number or email you can actually reach them on
- An invoice number and the date the work was done
- Whether this was a table sale (rung on the till) or an order (written as an invoice) โ keep them separate
- For wholesale: the per-unit price and the case or lot size, so the discount off retail is checkable
- For custom orders: what was ordered, in the customer's own words, and the agreed price before you started
- For consignment: the settlement period, the split, and how many units sold versus were returned
- Sales tax, if your state requires it on handmade goods โ it usually does
- Shipping cost shown at cost, separate from the item price, if you mail anything out
- Subtotal, sales tax if you charge it, and the total due
- Any deposit or payment already taken, and the balance still owed
- The due date, and what happens if it goes past it
- How they can pay โ card, bank transfer, check or cash

Do I need to invoice every market table sale?
No โ that's what a QR code at the till is for. A customer taps, pays by card or Apple Pay, and gets a receipt without you writing anything by hand between customers. Save real invoices for orders: wholesale, custom pieces, anything agreed to before the item existed.
How do I price a wholesale order?
As a per-unit price at your wholesale rate โ commonly 40 to 50% off retail โ times the case or lot size, shown as its own line so the shop can see exactly what they're paying per unit. A single lump sum for '12 units' with no per-unit price is the invoice a boutique buyer will ask you to redo.
What should a custom order invoice say?
Describe what was actually ordered, in plain words โ '12 lavender soy candles, 8oz, custom label' โ with the agreed price fixed before you started making it. That description is also your own record for the next time the same customer orders the same thing and neither of you remembers the exact spec.
How do I invoice a consignment shop?
Per settlement period, showing units sold, your agreed split, and the payout โ not a running balance the shop has to reconstruct from memory. If items came back unsold, note the count; it's the difference between what you dropped off and what actually sold.
Do I charge sales tax on handmade goods?
In most states, yes, on both the table and on invoiced orders โ a common seller's mistake at first markets is assuming a cash table is somehow exempt. Check your state's rule once, set the rate, and it applies automatically to every sale and invoice after that.
