What to include on a landscaping invoice
- Your business name, phone number and email — and your license number if your state puts one on the paperwork
- The customer's name, the service address, and a phone number or email you can actually reach them on
- An invoice number and the date the work was done
- The property address, which is often not the billing address for rentals and HOAs
- The billing period and the dates you were actually on site
- Recurring service as one line with the number of visits, not a mystery monthly figure
- Materials in the unit the supply yard sells them in — yards of mulch, pallets of sod
- Chemical applications with the product name and date, since some states require the record
- Extras outside the contract on their own lines, clearly marked as extra
- Subtotal, sales tax if you charge it, and the total due
- Any deposit or payment already taken, and the balance still owed
- The due date, and what happens if it goes past it
- How they can pay — card, bank transfer, check or cash

Should I bill mowing monthly or per visit?
Monthly, with the visit count shown. One invoice a month instead of four is less work for you and easier for the customer to set up on autopay, and listing the dates you cut answers the 'I don't think you came that week' question before it's asked.
How do I invoice a month with five cuts?
Show the visits as a quantity and price per visit, rather than a flat monthly figure. Then a five-week month is self-explanatory instead of looking like a price rise. If you'd rather keep the monthly figure identical all year, say so in the terms and average it deliberately.
What's the right way to bill mulch and sod?
By the yard or the pallet, installed, with the quantity visible. Customers price mulch by the yard because that's how the supply yard sells it, so an invoice showing four yards at a stated rate reads as fair. A single 'landscaping — $340' line reads as a number you made up.
Do I need to document chemical applications?
Several states require a licensed applicator to keep records of the product, rate and date, and some require you to leave the customer a copy. Putting it on the invoice covers both at once and it's a good habit even where it isn't required.
How do I stop chasing late payers every month?
Put the due date on every invoice, send it the same day each month, and give them a link they can pay from their phone in ten seconds. Most late payment in this trade isn't refusal, it's a paper invoice that ended up on a kitchen counter.
