Free hair salon invoice and receipt template

Colour, cut and the products they took home, itemised on one page โ€” and paid at the chair.

Most salon software is a booking calendar with billing bolted on the side, priced per chair, and it wants to own your whole day before it will print a receipt. If what you actually need is a clean itemised bill โ€” the cut, the colour, the toner, the treatment, and the two bottles she took home โ€” this does that and nothing else. Ring it up at the chair, let her tap her phone, and the receipt is in her email before she has her coat on. It also keeps a record you can look at in six weeks, which matters more than it sounds: the formula and the timing you wrote down are what make the next visit match the last one.

What to include on a salon work invoice

Hair Salon invoicing questions

Do I have to charge sales tax on salon services?

In most states services are not taxed but retail products are, and a few states tax both. That split is the whole reason to keep shampoo on its own line rather than rolling it into the colour price. Ask your accountant once, set the rate, and let the invoice apply it to the right lines from then on.

How do I handle tips?

Put the tip on its own line, added after the total. Never raise a service price to cover it. Tips are usually the stylist's income rather than the salon's, and a bill that hides one inside the colour price makes both the books and the payroll wrong later.

What about a booth renter โ€” whose invoice is it?

Yours, if you rent the booth. A booth renter is a business, and the client is your client. Bill under your own name with your own payment details; the salon owner's rent is a separate expense you pay, not something the client should ever see on a receipt.

Should I take a deposit for a big colour appointment?

For anything over about two hours, yes โ€” a no-show on a full head of foils costs you the whole afternoon. Take it as a payment against the invoice rather than a separate arrangement, so the balance on the day is simply what is left.

Can a client pay by card right at the chair?

Yes. Every invoice gets a Pay button, and the counter till takes a card in person with a QR code the client scans with their own phone camera. Nothing to buy, no card reader, no terminal rental.

Is this really free for a one-chair salon?

Yes, and it stays free โ€” no trial clock and no cap on invoices or receipts. One person is one seat, which is one chair. Paid plans start at $9.99 a month for emailing from our address, receipt scanning, your own logo and more people on the account. The only other charge is 0.5% when a client pays you by card.
