How should the retainer appear on the final invoice?

As a payment already applied, right under the package total, so the balance due is obviously smaller than the full price for a clear reason. Sending a final invoice that just shows a lower number with no explanation makes a client re-check their math instead of trusting yours.

What if the reception runs past the booked hours?

Charge the overtime rate you stated up front, in writing, before the event. Couples rarely dispute an overtime charge they agreed to on paper weeks earlier; they will dispute one that shows up as a surprise on the invoice after the fact.

Should ceremony sound be its own line?

Yes, especially if it's a separate setup at a different time or location from the reception. It's genuinely more gear and more logistics, and itemizing it is what lets a couple who only wants reception coverage see clearly what they're not paying for.

How do I bill add-ons like uplighting or a photo booth?

As their own lines, priced the way you'd price them standalone, even when bundled into a package discount. A client comparing your package to a competitor's wants to see what each piece costs on its own โ€” bundling everything into one number just makes your total harder to evaluate.

Do I need a contract as well as an invoice?

For anything date-specific like a wedding, yes โ€” a contract covering cancellation, rescheduling and what happens if either side no-shows. The invoice records the money; the contract records the promise. They're not substitutes for each other.

What does this cost me?
