A DJ's price looks high until it's broken into what a client is actually buying: hours of coverage, the gear that has to be hauled and set up, lighting, and often the MC work that holds a reception together. List them separately. The retainer that held the date should show up on the final invoice as a payment already made, not vanish into a smaller-than-expected total the client has to take on faith.

What to include on a DJ and event entertainment invoice
- Your business name, phone number and email — and your license number if your state puts one on the paperwork
- The customer's name, the service address, and a phone number or email you can actually reach them on
- An invoice number and the date the work was done
- The event date, venue and load-in time — venues often want this in writing from you directly
- The package by name, with hours and what's included spelled out
- The retainer shown as a payment already applied, not silently subtracted
- Add-ons — lighting, photo booth, ceremony sound — on their own lines
- Music preferences or do-not-play list referenced, since that's the brief you're pricing against
- Overtime rate stated in advance, so a reception that runs long has an agreed number already
- Subtotal, sales tax if you charge it, and the total due
- Any deposit or payment already taken, and the balance still owed
- The due date, and what happens if it goes past it
- How they can pay — card, bank transfer, check or cash

How should the retainer appear on the final invoice?
As a payment already applied, right under the package total, so the balance due is obviously smaller than the full price for a clear reason. Sending a final invoice that just shows a lower number with no explanation makes a client re-check their math instead of trusting yours.
What if the reception runs past the booked hours?
Charge the overtime rate you stated up front, in writing, before the event. Couples rarely dispute an overtime charge they agreed to on paper weeks earlier; they will dispute one that shows up as a surprise on the invoice after the fact.
Should ceremony sound be its own line?
Yes, especially if it's a separate setup at a different time or location from the reception. It's genuinely more gear and more logistics, and itemizing it is what lets a couple who only wants reception coverage see clearly what they're not paying for.
How do I bill add-ons like uplighting or a photo booth?
As their own lines, priced the way you'd price them standalone, even when bundled into a package discount. A client comparing your package to a competitor's wants to see what each piece costs on its own — bundling everything into one number just makes your total harder to evaluate.
Do I need a contract as well as an invoice?
For anything date-specific like a wedding, yes — a contract covering cancellation, rescheduling and what happens if either side no-shows. The invoice records the money; the contract records the promise. They're not substitutes for each other.
What does this cost me?
Nothing to write or send, with no cap on invoices. If a client pays by card we take 0.5% of that payment, and nothing if they pay by check. Paid plans are optional, from $9.99/mo, for things like your own logo on the invoice.
