Cleaning is priced by the visit but disputed by the detail. A customer who booked a standard clean and expected the inside of the fridge will remember it as an overcharge unless the invoice shows plainly what a standard clean covers and what an add-on is. List the property, the type of clean, the crew hours if you bill that way, and each extra on its own line. For move-outs, note that the price assumes an empty unit — that's the one that goes sideways most often.

What to include on a cleaning invoice

• Your business name, phone number and email — and your license number if your state puts one on the paperwork
• The customer's name, the service address, and a phone number or email you can actually reach them on
• An invoice number and the date the work was done
• The property address and the type of clean: standard, deep, move-out, post-construction
• What the base clean includes, in a line or two, so 'I thought that was covered' has an answer
• Every add-on separately — oven, fridge, interior windows, laundry, cabinet interiors
• Crew size and hours if you bill hourly, so a longer visit explains itself
• The recurring rate and cadence for ongoing customers, with the next scheduled date
• Your cancellation and lockout policy, and whether it was applied this visit
• Subtotal, sales tax if you charge it, and the total due
• Any deposit or payment already taken, and the balance still owed
• The due date, and what happens if it goes past it
• How they can pay — card, bank transfer, check or cash

Cleaning invoicing questions

Flat rate or hourly for house cleaning?

Flat rate per visit is easier for the customer to say yes to and rewards you for getting faster. Hourly protects you on first visits and hoarder-adjacent jobs where you genuinely can't see the end. A common middle ground is a flat recurring rate plus hourly for anything outside it, stated on the invoice.

How do I charge for the first deep clean?

As a separate surcharge line on top of the standard clean, not as a higher mystery price. The first visit is always more work, and showing it as a one-time line makes it obvious that the ongoing price is lower — which is exactly the message you want them to have.

Should I bill for a lockout or a same-day cancel?

If it's in your terms, yes, and the invoice is where that becomes real. Bill it as its own line naming the date, usually 50 to 100 percent of the visit. Waiving it once and noting 'waived as a courtesy' on the invoice is often better business than either silence or a fight.

What should a move-out invoice say?

That the price assumed an empty unit, because a landlord who left furniture behind will still expect the quoted price. List anything you had to work around, and consider photographs. Move-out cleans are also the ones a tenant may be reimbursed for, so an itemized invoice gets you paid faster.

Do I charge sales tax on cleaning?

It varies by state — some tax residential cleaning, some tax only commercial, some don't tax services at all. It's a one-time question for your accountant or state revenue department. Once you know your rate, set it and it applies to every invoice automatically.

How do recurring customers pay without me chasing them?

Send the invoice on the same day each period with a card link on it. Most people pay a link the day they get it and let a paper invoice sit for three weeks. There's no charge for sending it, and 0.5% if they pay by card.
