Scope, hours or package, and what happens if the brief grows โ a personal chef work proposal that protects both sides.
A personal chef work proposal should read as scope first, money second. Say what is in the package or the hour block, say what a change in the brief does to the price, and put the deposit or retainer on its own line. That is what lets a client approve it without a phone call โ and what protects you when the work grows halfway through. When it is accepted, the proposal becomes the invoice, with the retainer already shown as taken.
What a personal chef work estimate has to say
- The package or the hour block and what it includes โ "Weekly meal prep โ up to 4 entrees, serves 2" as a line with a price, not a paragraph.
- What is out of scope, and your rate for work beyond it.
- The retainer or deposit, and whether it comes off the final balance.
- The schedule: start, milestones if there are any, and when each payment is due.
- How long the proposal is valid, and how a change to the brief gets priced.

Personal Chef estimate questions
Should a personal chef work proposal quote hours or a package?
Quote the thing the client is buying. If they are buying an outcome, quote a package and say what it includes; if they are buying your time, quote a block of hours and a rate for hours beyond it. Mixing the two โ a package price with an hourly clause buried underneath โ is how the final invoice becomes a surprise.
Do I need a retainer?
For anything that runs more than a few days, it is the normal way to work. A retainer on its own line, with a note that it comes off the final balance, is what turns a proposal into a commitment on both sides. A proposal with no money attached is a wish.
How do I handle the client changing the brief?
Re-issue the estimate. A revised version with the new scope and the new price, accepted again, keeps the record straight and keeps the extra work paid. The mistake is doing the extra work first and explaining it on the invoice.
How long should a proposal stay open?
Thirty days is common; shorter if your calendar fills. Put the date on it. An open-ended proposal is a rate you are still committed to after your rate has gone up.
